Automate with AI — small businesses save 5h per week, on average

Concrete workflows you can set up this week, no code, no jargon

The reality: AI is here, but most businesses use it like a fancy search engine

Entrepreneur writing a quote on a laptop

Workflow 1 — Inbox triage

ChatGPT + a Word template. No pro account required.

  • You dictate to ChatGPT: "service X, duration Y, hourly rate Z"
  • The AI produces formal wording + a summary table
  • You paste it into your existing Word/Google Docs template
  • Measured gain: from 25 min to 3 min per quote

Workflow 2 — Meeting notes & action items

Gmail + a library of replies pre-written by AI.

  • You list your 5 most frequent customer questions
  • ChatGPT generates a customizable standard reply for each one
  • You save them as "canned responses" in Gmail
  • Every email handled in 30 seconds instead of 5 minutes

Workflow 3 — Content drafts at scale

One 30-min session = a month of content scheduled.

  • You list 4 themes for the week (a finished job, a tip, a testimonial, a behind-the-scenes)
  • ChatGPT produces 4 texts + 4 image ideas
  • You schedule them in Buffer or Metricool (free for up to 3 networks)
  • Publishing runs automatically, you step back in to reply to comments

Workflow 4 — Customer answers, faster

ChatGPT Vision: you take the photo, the AI types the lines for you.

  • You drop a photo of an invoice into ChatGPT (free version, with a daily limit)
  • The AI returns a table with the net amount, VAT, gross amount, date and supplier
  • Copy and paste into your spreadsheet or accounting software
  • 15 invoices handled in 10 minutes instead of an hour

Workflow 5 — Reporting on autopilot

Get a summary of what's new in your sector every Monday.

  • You define 3 key topics (e.g. "construction trade regulations", "new BPI grants")
  • Perplexity.ai searches the web live and cites its sources
  • You save the conversation as "weekly watch"
  • 5 minutes on Monday = you're up to date for the whole week

Pick the workflows that fit your business

Photographer

Start with the quote workflow (W1). Every shoot has a similar brief — the AI saves 20 min per customer enquiry.

Coach / Consultant

Social media workflow (W3). Build on your session notes to generate authentic posts without spending your weekend on it.

Tradesperson / Construction

Invoices workflow (W4) + regulatory watch (W5). Two hours saved every week on paperwork and standards.

Local retail

Emails workflow (W2) + social media (W3). Keep customer relationships going at a steady rhythm without the time spent exploding.

B2B consulting

Quote workflow (W1) + watch (W5). Answer tenders within 24h, and feed your proposals from the watch.

Non-profit / Solopreneur

All the workflows in sequence: start with W2 (emails), the fastest to pay off. Then W3, W1, W4, W5.

Where to start: the 3 levers that move the needle

Pick a single repetitive task from your week and apply the workflow that fits your trade. A question, a roadblock: write to me, I answer myself, no bot.

Ask me a question

Mistakes I see most often

What works

  • Automate 1 task at a time, measure, then add another
  • Always proofread before sending to the client
  • Free tools while testing (ChatGPT, Perplexity, Buffer free)
  • Personalize the AI with YOUR examples (3 emails, 3 posts)

What to avoid at the start

  • Trying to automate everything in one week — you're guaranteed to give up
  • Handing sensitive emails to the AI without reviewing them
  • Paying for a subscription before the workflow is proven
  • Accepting the default robotic tone — you lose your personality

Questions I get asked the most

What if the AI gets it wrong?

It does get things wrong, that's a given. Every workflow includes an explicit review step. The rule: the AI speeds things up, you sign them off.

Is my data reused?

Yes by default. Turn off training on your conversations in the ChatGPT or Perplexity settings: 2 clicks. GDPR OK.

Do I need to learn to code?

No. Zero lines of code, zero APIs, zero webhooks. Everything goes through standard graphical interfaces — if you can use Word and Gmail, you already know how.

Today: reread the workflow that fits your trade. This week: try it on 1 real task (not 5, not 10 — just one). In 7 days: measure the time saved. If it works: automate the 2nd task. If not: write to me and we adjust together.
